The Sr. Payroll Specialist is responsible for the effective execution of payroll operations for an assigned group of clients, including accurate and timely processing of timecard entry, data entry, payroll processing, payroll distribution and invoice distribution. The role will assist the improvement of the day-to-day payroll operations by collaborating with Payroll Team Leadership and the Payroll Analyst on department initiatives and intra-team training. In addition, this role is responsible for process reconciliation and vendor management.
Success in this position will be measured by producing accurate and timely payroll and tax files and invoicing for our clients.

- Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates to meet deadlines.

- Prepara y transmite los ficheros bancarios para cheques y depósitos directos.
- Soluciona los problemas y colabora con TI para que la transmisión se realice correctamente.
- Transmite los expedientes fiscales diarios dentro de los plazos establecidos y resuelve las discrepancias en la asignación de códigos fiscales.
- Cobra, procesa y concilia todos los embargos y gravámenes preparando la comunicación al empleado y cargándola en el proveedor.
- Carga los informes semanales de prestaciones y realiza auditorías de la actividad de nóminas con las plataformas de proveedores adecuadas.
- Revisa los cálculos salariales y corrige los errores para garantizar la exactitud de las nóminas.
- Trabaja con múltiples sistemas de control de horarios para ejecutar la integración de los informes de tarjetas horarias.
- Revisa y garantiza la correcta configuración de los impuestos federales, estatales y locales.
- Revisa los informes de auditoría previos y posteriores al procesamiento de las nóminas.
- Crea y contabiliza facturas para los clientes. Envía las facturas al equipo de facturación para su distribución.
- Realiza la distribución manual de cheques en la plataforma bancaria para contabilizar los cheques diarios.
- Analiza los detalles de los informes de gastos y se asegura de que se ha recibido la documentación adecuada.
- Mantiene la confidencialidad y seguridad de la información de los empleados.
- Revisa y procesa el correo entrante relativo a las nóminas (embargos, notificaciones fiscales, etc.).
- Colabora con los departamentos internos (Facturación, RR.HH. y Servicio) para servir de punto de contacto para las consultas sobre nóminas, incluido el conocimiento de las mejores prácticas en materia de nóminas y los requisitos salariales y fiscales.
- Corresponde con los organismos fiscales federales, estatales y locales según sea necesario.

Cualificaciones preferidas:
- 3 años de procesamiento de nóminas para múltiples clientes (Employer of Record, PEO, o industria de Staffing).

- Knowledge of Fed/State withholding and SUTA requirements in all 50 states is required.
Expert-level knowledge of complex payroll concepts (fringe benefits, 3rd party sick pay, overpayments, garnishments, imputed income, local taxes, final pay rules by state, W-2/W-2c reporting, deduction reporting and reconciliation, FLSA, etc.). - Strong process & organizational skills.

The Benefits Manager plans, develops, manages, and administers the employee benefit plans in the United States and internationally to provide guidance and support for both the management and administration of our external talent (our business operations) and our internal talent (our team).
Under general supervision, the Benefits Manager uses knowledge and skills obtained through education, training and/or experience to manage the day-to-day administration of the company’s employee benefit plans. This position will manage the internal benefits department in determining procedures to perform a variety of departmental tasks. Resolves most issues independently, with elevated matters being referred to the VPHR, or CHRO as needed. Frequent contact with employees, internal customers, insurance carriers and/or third-party administrators is required.

- Manages and administers the benefit programs for both staff and contingent workers and considers impact on sales and retention of clients, as well as employee satisfaction with the plans.
- Works with our numerous benefits vendors to ensure all benefits platforms are properly configured, administered, executed and are legislatively compliant.
- Monitors daily activity in benefits administration system and workforce analytics system to import data.
- Identifies trends and benefits eligibility determinations and potential data errors.
- Ensures compliance and alignment with IES strategy and business needs.
- Manages and coordinates with client delivery and the HR business partners during the annual open enrollment period for health plans. Communicates with clients to report any plan design or premium changes to allow for new client contribution strategy. Arranges for distribution of materials from carriers, assists with, communicating changes to employees. Process changes within deadlines.
- Coordinates client communication and responds to client inquiries on benefits. Participates in client discovery calls as necessary.
- Supports the Client Delivery and Payroll team with research and analysis of errors or issues.
- Manages insurance broker relationship, technology vendors and 401k service providers,
- Provides support to the accounting department for the 401k audit.
- Participates in the 401k committee meetings twice annually.
- Oversees 401k non-discrimination testing, Form 5500 filings and provides support for the 401k annual census.
- Manages annual 1095cs and Form 5500 filings for our health and welfare plans.
- Communicates with employees, co-workers, management, customers, vendors and others in a courteous and professional manner.
- Abides by all regulations, policies, work procedures and instructions.
- Working with the VP, Human Resources, administers global benefit plans, including supplemental insurance, pension plan schemes, and registered retirement savings plans.
- Performs other duties as assigned.
- Partners with technical staff to ensure data integrity, testing and implementation of ACA, IRS and ERISA benefits reporting requirements.
- Develops and implements policy and procedures to maintain ACA compliance.

Cualificaciones preferidas:

- Strong experience with ACA and ERISA compliance.
- Experience working with Canada and UK benefits preferred but not required.
- Excellent communication and organizational skills.
- Excellent reconciliation and audit skills.
- Strong people and project management skills.
- Proficient with Microsoft Office.
- Staffing or PEO experience preferred.
- SHRM/HRCI/ or CEBS certification preferred.
Hiring Range: $105,300 – $136,900 per year
