The Sr. Payroll Specialist is responsible for the effective execution of payroll operations for an assigned group of clients, including accurate and timely processing of timecard entry, data entry, payroll processing, payroll distribution and invoice distribution. The role will assist the improvement of the day-to-day payroll operations by collaborating with Payroll Team Leadership and the Payroll Analyst on department initiatives and intra-team training. In addition, this role is responsible for process reconciliation and vendor management.
Success in this position will be measured by producing accurate and timely payroll and tax files and invoicing for our clients.

- Responsável pelo processamento exato e atempado das rescisões e processa os controlos de rescisão fora do ciclo, bem como os controlos fora do ciclo devido a prazos não cumpridos ou a erros administrativos.
- Responsável pela revisão e processamento diário de itens no Painel de Controlo da Folha de Pagamentos para pagamento adicional, rescisões, contratantes independentes e pedidos de folga.
- Prepara e transmite os ficheiros bancários para cheques e depósitos directos.
- Resolve os problemas e colabora com as TI para que a transmissão seja bem sucedida.
- Transmite ficheiros fiscais diários dentro dos prazos estabelecidos e resolve discrepâncias de mapeamento de códigos fiscais.
- Recolhe, processa e reconcilia todas as penhoras e arrestos, preparando a comunicação com o empregado e carregando-a no fornecedor.
- Carrega relatórios semanais para benefícios e efectua auditorias da atividade de processamento de salários com plataformas de fornecedores adequadas.
- Revê os cálculos salariais e corrige os erros para garantir a exatidão da folha de pagamento.
- Trabalha com vários sistemas de controlo de tempo para executar a integração de relatórios de cartões de ponto.
- Analisa e assegura a correcta definição de impostos, incluindo federais, estatais e locais.
- Revisa os relatórios de auditoria antes e depois do processamento dos salários.
- Cria e lança facturas para os clientes. Submete as facturas à equipa de faturação para distribuição.
- Completa a distribuição manual de cheques na plataforma do banco para lançar os cheques diários.
- Analisa os pormenores dos relatórios de despesas e assegura a receção da documentação correcta.
- Mantém as informações dos trabalhadores confidenciais e seguras.
- Analisar e tratar a correspondência recebida sobre os salários (penhoras, avisos fiscais, etc.).
- Estabelece parcerias com departamentos internos (faturação, RH e serviços) para servir de ponto de contacto para questões relacionadas com os salários, incluindo o conhecimento das melhores práticas em matéria de salários e dos requisitos salariais e fiscais.
- Corresponde com as agências fiscais federais, estatais e locais, conforme necessário.

- Fornece orientação, assistência e formação a membros menos experientes da equipa.

Qualificações preferenciais:
- 3 anos de processamento de salários para vários clientes (empregador de registo, PEO ou indústria de pessoal).
- Experiência com processamento de salários em vários estados e impostos relacionados com os salários, incluindo reciprocidade.
- Knowledge of Fed/State withholding and SUTA requirements in all 50 states is required.
Expert-level knowledge of complex payroll concepts (fringe benefits, 3rd party sick pay, overpayments, garnishments, imputed income, local taxes, final pay rules by state, W-2/W-2c reporting, deduction reporting and reconciliation, FLSA, etc.). - Strong process & organizational skills.

The Benefits Manager plans, develops, manages, and administers the employee benefit plans in the United States and internationally to provide guidance and support for both the management and administration of our external talent (our business operations) and our internal talent (our team).
Under general supervision, the Benefits Manager uses knowledge and skills obtained through education, training and/or experience to manage the day-to-day administration of the company’s employee benefit plans. This position will manage the internal benefits department in determining procedures to perform a variety of departmental tasks. Resolves most issues independently, with elevated matters being referred to the VPHR, or CHRO as needed. Frequent contact with employees, internal customers, insurance carriers and/or third-party administrators is required.

- Monitors daily activity in benefits administration system and workforce analytics system to import data.
- Identifies trends and benefits eligibility determinations and potential data errors.
- Ensures compliance and alignment with IES strategy and business needs.
- Manages and coordinates with client delivery and the HR business partners during the annual open enrollment period for health plans. Communicates with clients to report any plan design or premium changes to allow for new client contribution strategy. Arranges for distribution of materials from carriers, assists with, communicating changes to employees. Process changes within deadlines.
- Coordinates client communication and responds to client inquiries on benefits. Participates in client discovery calls as necessary.
- Supports the Client Delivery and Payroll team with research and analysis of errors or issues.
- Manages insurance broker relationship, technology vendors and 401k service providers,
- Provides support to the accounting department for the 401k audit.
- Participates in the 401k committee meetings twice annually.
- Oversees 401k non-discrimination testing, Form 5500 filings and provides support for the 401k annual census.
- Manages annual 1095cs and Form 5500 filings for our health and welfare plans.
- Communicates with employees, co-workers, management, customers, vendors and others in a courteous and professional manner.
- Abides by all regulations, policies, work procedures and instructions.
- Working with the VP, Human Resources, administers global benefit plans, including supplemental insurance, pension plan schemes, and registered retirement savings plans.
- Performs other duties as assigned.
- Partners with technical staff to ensure data integrity, testing and implementation of ACA, IRS and ERISA benefits reporting requirements.
- Develops and implements policy and procedures to maintain ACA compliance.

Qualificações preferenciais:
- Bachelor’s degree or equivalent combination of education and experience.
- 5 + years benefits management experience leading a team.
- Strong HRIS experience and an understanding how data flows between HRIS, benefit administration systems, and carriers.
- Strong experience with ACA and ERISA compliance.
- Experience working with Canada and UK benefits preferred but not required.
- Excellent communication and organizational skills.
- Excellent reconciliation and audit skills.
- Strong people and project management skills.
- Proficient with Microsoft Office.
- Staffing or PEO experience preferred.
- SHRM/HRCI/ or CEBS certification preferred.
Hiring Range: $105,300 – $136,900 per year
