Payroll Lead

The Payroll Lead will oversee the payroll processing activities for payroll runs to ensure accuracy and quality control.  The incumbent will facilitate communication, take a proactive lead to identifying issues and resolution, complete root cause analysis after resolving issues and provide guidance and training to the team.

The Payroll Lead will ensure that all US payroll and tax processes are executed appropriately and in a timely manner.  As a Subject Matter Expert, the Payroll Lead will strive to continuously improve accuracy, process and the employee and client experience.

Essential Job Functions

  • Oversees the complex multi-state, multi-frequency payroll administration and offer support as needed to the team.
  • Responsible for acting as the escalated point of contact and becoming a trusted advisor.
  • Provides operational subject matter expertise on payroll process.
  • Provides problem solving skills for reasonable problem resolution and communicates proactively with internal and external stakeholders.
  • Collaborates with internal teams to identify client needs and address any timely payroll issues.  Resolves issues promptly or escalates complex issues to management.
  • Reviews payroll allocation across the team.
  • Executes testing of tools, processes, or system.
  • Trains team members on new or enhanced operation procedures and policies
  • Utilizes work plans to develop process documents, job aids, communications procedures.
  • Supports ad-hoc analytical requests such as gross up calculations, withholding calculations, overtime calculations, etc.
  • Performs in-depth investigations and analysis to determine the root cause of each problem in order to identify gaps and solutions.
  • Prepares and maintains standard and ad hoc reports, queries, and conducts appropriate audits to ensure data integrity and overall process improvements.
  • Assists in the entry of all payroll adjustments submitted from various sources for both on & off-cycle processing and research and resolve all final issues prior to confirming payroll and generating invoices.
  • Interprets guidelines for processing/calculating tax withholdings, deductions, adjustments and/or garnishments as well as other imputed income items.
  • Ensures compliance with federal and state wage and hour laws by verifying client and employee timecards and ensures all other data submitted is accurate per the employee pay status and the work order.
  • Compiles reports for 401k, ACH, ADP, PosPay, Expert Pay, and Prevailing Wage files to respective vendors.
  • Initiates, maintains and releases garnishment orders assigned within compliance standards, accurately and consistently.
  • Creates Commuter Benefit Eligibility reports weekly to upload and processes enrollment and deduction file.
  • Identifies and inputs credit/debits for recap reports and distributes to client.   Prepares invoice files for large accounts and uploads for client review.

Preferred Requirements

  • 10+ years payroll experience working within a multi-state payroll environment
  • Knowledge of per diem, SCA, certified payroll and quarterly tax is desired
  • Customer service experience
  • Proficient computer skills in Windows environment
