HR Onboarding Specialist

This HR Onboarding Specialist will deliver an exceptional new hire experience through superior service, clear communication and accuracy during the onboarding process.  The position supports the company’s core values with a strong customer focus throughout the employee’s life cycle.  This position will triage complex inquiries from candidates and employees serving as a main point of contact.

The HR Onboarding Specialist will assess and anticipate department and corporate strategy.  This professional must be service oriented and a business attentive individual who is collaborative in their approach to make recommendations for efficiencies and solutions.   This position will require an individual with professional composure and the ability to focus with distractions.

Our corporate office is in San Diego, California.  This position will work remotely and is open to candidates nationwide. 

Essential Job Functions:

  • Executes the onboarding and off boarding process for employees.
  • Serves as a liaison between client and applicant to ensure successful onboarding process.
  • Coordinates the client-specific hiring procedure directly with the applicant and responds to inquiries.
  • Processes job postings, background checks, drug screens, education, and employment verifications as the employer of record.
  • Provides guidance to employee on timekeeping procedures to ensure timely payroll processing.
  • Works within internal and external client portals and timekeeping systems. Serves as an expert in accessing external information.
  • Generates reporting for external and internal customers to keep records updated and timely.
  • Actively participates in semi-annual HR audit and conducts necessary research to maintain compliance with employment regulations.
  • Manages multiple email groups and responds quickly to client and employee needs.
  • Works closely with payroll staff to ensure accurate and timely pay procedures.
  • Documents and retains detailed procedures, in multiple systems, to ensure full documentation and accuracy in personnel records.
  • Acts as a resource for employees and clients to ensure their understanding and compliance with employment compliance and regulation. Provides counsel or coordinates support on HR fundamentals and employee related questions.
  • Collaborates with team and shares critical information with stakeholders. Maintains open communication to internal team on ways to identify opportunities to grow the business.
  • Displays strong aptitude for multi-tasking priorities and remaining flexible.
  • Manages and resolves employee relations issues. Escalates complex investigations to HR.
  • Keeps management advised of potential problem areas and makes recommendations for efficiencies and solutions.
  • Displays superior service to employees and clients with excellent interpersonal skills.
  • Applies overall corporate knowledge to drive daily decision making and prioritization.

 Preferred Qualifications

  • Certification Preferred – Certified Staffing Professional, SHRM, PHR or HR Management Certificate
  • Knowledge of HR, staffing and co-employment.
  • Excellent oral and written communication skills.
  • Basic computer experience using Microsoft and Internet.
  • Database maintenance and data entry.
