HR Business Associate

As a member of the IES Corporate HR Team, the HR Business Associate, will serve as the liaison between the Corporate HR & Legal Team and the IES Service Team with a hands-on approach to addressing areas of risk mitigation, compliance and escalated employee relations.  This position will have a general understanding of our client’s service needs and the areas of support IES Corporate HR can provide to the IES Service Team.

This role will manage data driven HR projects to create process improvements and offer recommendations to the team and organization.  The position will offer both strategic and tactical duties and will collaborate with all departments and juggle many projects.


Our corporate office is in San Diego, California.  This position will work remotely and is open to candidates nationwide.


Essential Functions

  • Fields HR related inquiries from the service team and escalates to the appropriate Corporate HR or Legal team member should they be unable to address.
  • Conducts thorough audit reviews of HR operational processes utilizing various testing methods to detect compliance.
  • Utilizes payroll reporting to review monthly minimum wage audits and partners with the service team to communicate any changes to the organization.
  • Researches and stays abreast of legislation for federal, state or local requirements for compliance.
  • Explores and implements process improvements for the corporate HR team that crosses functional departments within the organization. Collaborates process changes with cross functional teams while considering the needs of our external employees and clients.
  • Counsels our clients and employees on company policies/practices, legal considerations, and helps to facilitate resolution of employee relations issues.
  • Reviews client requests for FLSA exemption classifications.
  • Oversees the sexual harassment training program and updates systems with accurate information for compliance and billing.
  • Collaborates with sales team and client to determine correct workers compensation codes. Manages account positions in Front Office for tracking and usage.
  • Manages the intake of employee injuries, coordinates medical care, receipt of paperwork, and submits workers’ compensation claims to carrier. Partners with Compliance Manager to review trends and to ensure claims are closed as quickly as possible.
  • Conducts safety investigations related to work related injuries and completes required documentation and claims process.
  • Manages the routine functions and administration of employee leaves of absence process and coordinates pay and benefits continuation. Maintains communication with the employees and the department managers throughout the leave process.
  • Conducts individualized assessments for criminal background investigations.
  • Participates in interactive process and ensures legal compliance with ADA accommodation requests. Follows up with related documentation as needed and serves as the information source for employees.
  • Analyzes client safety evaluations.
  • Troubleshoots data that impacts reporting for external vendors.
  • Completes verification of employment/income requests.
  • Responds to unemployment claims and analyzes trends and metrics in partnership with the service team to develop solutions and lower unemployment costs.
  • Issues termination and unemployment notices to contingent employees
  • Gathers personnel records at the request of the Legal Team
  • Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Participates regularly in client and service team meetings.

Preferred Education & Experience

  • Requires a bachelor’s degree and/or AA Degree in Business, Human Resources and/or equivalent relevant experience.
  • Thorough understanding of employment laws and practices.
  • Staffing or PEO experience preferred.
  • 1 year+ experience in employee relations.
  • SHRM or PHR certification preferred.
  • Effective oral and written communication.
  • Evidence of the practice of a high level of confidentiality.
  • Able to exercise effective judgment, sensitivity, creativity to changing needs and situations.
  • Proficient with Microsoft Office Suite. SQL experience is a plus.
